Policy on Protection of Personal Information

KAJITAKU, Inc., as an entity which handles any personal information, recognizes the importance of personal information and social responsibility for the protection thereof and will seek to handle the personal information appropriately, in compliance with the following policy on protection of personal information.

1. Purposes of Use of Personal Information

If KAJITAKU, Inc. (the "Company") obtains any personal information, the Company shall obtain the information to the extent of the services stated in (1) below; and to the extent necessary to achieve the purposes of use stated in (2) below. In addition, if any purpose of use is required to be amended, such amendment shall be made to the extent that the amended purpose is appropriately deemed to be related to the purpose of use prior to such amendment.

( 1 ) Contents of services

  • Provision of general assistance services associated with household duties (including, but not limited to shopping on behalf of a customer, housework agency, pick-up and delivery of laundry and cleaning, storage services, baby-sitting services); and.
  • Any and all other services pertaining to the above-mentioned services.

( 2 ) Purposes of use

  1. To render solicitation and to provide information of general assistance services associated with household duties;
  2. To render solicitation in respect of, and provide, the services of the Company or its affiliated or allied companies and to provide any information thereof;
  3. To handle applications by customers for general assistance services associated with household duties;
  4. To confirm identity of customers;
  5. To submit a report to respective customers on the details of the services provided by the Company, the results thereof, etc.;
  6. To undertake the procedures associated with the transactions with a customer;
  7. For the purpose of research and development of the Company's services through market studies, data analysis, questionnaire survey or otherwise;
  8. To exercise the rights or to perform the obligations under agreements with customers, or under the applicable laws, etc.;
  9. To otherwise implement transactions with customers in an appropriate and efficient manner;
  10. For recruiting of the Company's employees; and
  11. For personnel management of the employees.

2. Restrictions pursuant to Purposes of Use

If the Company uses any personal information for any purpose out of the scope of the purposes of use, the prior consent shall be obtained from the customer concerned, except for the following cases:

  • Cases in which the use of any personal information is in compliance with the laws and regulations;
  • Cases in which the use of any personal information is necessary for the purpose of protection of the life, body, or property of an individual and in which it is difficult to obtain the consent of the customer concerned;

    and

  • Cases in which the use of any personal information is necessary for the purpose of the cooperation with governmental authorities, local public bodies, or an individual or entity entrusted thereby, in undertaking procedures prescribed by laws and regulations and in which it is difficult to obtain the consent of the customer concerned.

3. Appropriate Obtaining

The Company will obtain any personal information to the extent necessary to achieve the purposes of use and by lawful and appropriate means.

4. Announcement of Purposes of Use in Obtaining

If the Company obtains any personal information from customers, the Company will announce in advance the purposes of use of such information to the customers. The same shall apply to the case where the Company obtains any personal information in writing of the customers. If any of the purposes of use is amended, the Company will announce such amendment.

5. Ensuring Accuracy of Content of Data

The Company will endeavor to maintain accuracy in respect of the content of the retained personal data and to update the retained personal information to the extent necessary to achieve the purposes of use.

6. Measures for Security Protection

The Company will take necessary measures to prevent leakage, loss or damage of personal data or otherwise to secure the protection of such personal data.

7. Supervision of Employees

The Company will provide necessary and proper supervision over the officers and employees who handle any personal data, for the purpose of the protection of such personal data to be secured.

8. Supervision of Contractors

The Company may entrust handling of the personal data obtained by the Company to a contractor in order to achieve the purposes of use of such information. In such case, the Company will select and appoint a contractor that, in the Company's estimation, will handle the personal information appropriately, and the Company will require the contractor to comply with the matters necessary for the protection of personal information by executing an agreement or otherwise and will appropriately supervise such contractor.

9. Provision to Third Party

The Company will obtain the prior consent of the customer concerned if the Company provides any personal information in respect of the customer to a third party other than the Company, except for the following cases:

  • Cases in which such provision is in compliance with the laws and regulations;
  • Cases in which such provision is necessary for the purpose of protection of the life, body, or property of an individual and in which it is difficult to obtain the consent of the customer; and
  • Cases in which such provision is necessary for the purpose of the cooperation with governmental authorities, local public bodies, or an individual or entity entrusted thereby, in undertaking procedures prescribed by laws and regulations and in which it is difficult to obtain the consent of the customer.

Provided, however, that in any of the following cases, a person who is provided with such personal information shall not be a third party:

  • Cases in which all or a part of the handling of any personal data is entrusted to the party to the extent necessary to achieve the purposes of use;
  • Cases in which any personal data is provided to the party in association with a succession of business due to a merger or otherwise; and
  • Cases in which any personal data is shared and the person concerned is notified of, or is given easy access to, such use, the details of the personal data relevant to such shared use, the scope of the persons who will share such personal data, the purposes of use by such users and the name of the person or the trade name of the entity which is responsible for the management of such personal data.

10. Announcement, etc. of Matters Related to Personal Data

The Company will expressly indicate the following information with respect to the personal data retained by the Company on its homepage:

  • the name of the entity which handles the personal information;
  • the purposes of use;
  • the necessary procedures to be taken to request a disclosure or correction, etc. and suspension of use, etc. (if a disclosure is requested other than in writing, the method of disclosure); and
  • the response center for inquiries

11. Disclosure Concerning Purpose of Use

If the Company is requested by a customer to disclose the purposes of use of the retained personal data, the Company will, without delay, respond to such request; provided, however, that the Company may not disclose all or part thereof, in any of the following cases:

  • Cases in which the purposes of use are expressly presented due to a disclosure set forth in the preceding section;
  • Cases in which it is likely that such disclosure may harm the life, body, property or other rights or interests of the customer concerned or a third party;
  • Cases in which it is likely that such disclosure may adversely affect the rights or legitimate profits of the Company; or
  • Cases in which disclosure is necessary for the purpose of cooperation with governmental authorities or local public bodies, in undertaking procedures prescribed by laws and regulations, and in which it is likely that such disclosure may adversely affect the implementation of such procedures.

12. Disclosure of Personal Data

When the Company is requested by a customer to disclose such retained personal data of the customer concerned, the Company will respond to such request without delay. However, in the following cases, the Company may not disclose all or part of the retained personal data:

  • Cases in which the disclosure may harm the life, body or property, or other rights or interests of the customer or a third party;
  • Cases in which the disclosure may remarkably obstruct the proper execution of the business of the Company; and
  • Cases in which the disclosure violates other laws and regulations.

13. Corrections, etc. of Personal Data

When the Company is requested by a customer to correct, add or delete (the "Corrections, etc.") such retained personal data of the customer concerned, the Company will conduct an investigation without delay and, on the basis of the results of such investigation, make the necessary Corrections, etc.

14. Suspension of Use, etc. of Personal Data

When the Company is requested by a customer to suspend the use of or to erase (the "Suspension of Use, etc.") such retained personal data of the customer concerned, the Company will conduct an investigation without delay and, when it is found that there are grounds for such request, the Company will conduct the Suspension of Use, etc.

15. Response Center for Inquiries, etc.

The Company will sincerely listen to the comments of the customers, such as inquiries, requests for disclosure, etc., opinions and complaints, etc. with respect to the personal information, raised by the customers.

16. Establishment of System

The Company will designate a manager of the personal information and take the necessary measures to protect such personal information. In addition, the Company will endeavor to maintain and improve the protection of the personal information by performing internal audits regularly in order to confirm whether the personal information is properly handled.

17. Education of Employees, etc.

The Company will educate and enlighten its officers and employees on the importance of the personal information and the proper way to handle such personal information, and will endeavor to take the necessary measures.

18. Compliance with Laws and Regulations, etc.

The Company will comply with the Act on the Protection of Personal Information, and other laws and regulations, and guidelines, concerning the protection of the personal information. Furthermore, the Company will establish the internal rules necessary for the protection of personal information, observe such rules, and continue to improve such rules according to the changes in the social environment.
